Administrative Assistant

Northern Alberta Business Incubator Society (NABI)
Job Description
The Administrative Assistant is accountable to the Executive Director and assists in the smooth operation of NABI’s spaces, in particular, the NABI Campbell building. The incumbent will be responsible for managing the schedule of senior members of the team, providing assistance with financial reporting and day to day financials, and will provide administrative support for the NABI team. This position will work primarily from NABI Campbell building located at 200 Carnegie Drive, St. Albert. 

Responsibilities

Administrative Support
• Assist with day to day financials including preparation of monthly invoices and monthly reconciliations
• Assist with administrative and operational processes within the department including, but not limited to, maintaining company information databases and updating key metrics for government reporting
• Coordinate schedules of Executive Director and NABI staff as required
• Support Board of Directors monthly meetings by preparing monthly board agendas, transcribing meeting minutes, and circulating documents
• Coordinate the intake, onboarding and exit of NABI companies with tasks including, but not limited to, key requests, alarm code setup, and preparation of orientation handbook
• Provide administrative support for NABI team as required

Customer Service
• Provide reception duties including greeting visitors, processing mail, and tour requests
• Provide excellent customer support (ie. general in-person Q/A, troubleshooting, tenant concerns, answering the phone)
• Help maintain the organization and cleanliness of the NABI common areas

Qualifications
• University degree or equivalent experience and/or education
• At least 5 years of business administration experience 
• Strong attention to detail and organizational skills 
• Self-motivated and resourceful
• Strong written and oral communication skills
• Ability to manage multiple tasks and deadlines
• Experience handling confidential and sensitive information
• Experience working in commercial leasing and property management/ tenant relations would be considered an asset
